Important: Selecting BACS does not collect money from the customer. Your team must check that the transfer has arrived and then update the payment record in EasyTaxiOffice.

1. Set Up the BACS Payment Method

  1. Log in to the admin panel.
  2. Go to Settings > Payment Methods.
  3. Find BACS and click Edit.
  4. Enter your company’s bank details and payment instructions in Additional info. See the example below.
  5. Enable Active.
  6. Set Display to Frontend & Backend to make BACS available in both the customer booking form and the admin panel.
  7. Click Save.

Choose Backend instead when the method should be available to staff in the admin panel but hidden from the customer booking form.

BACS does not require payment-gateway API keys. Its method-specific configuration is the Additional info field used to provide your payment instructions.

2. Add Your Bank Details and Payment Instructions

The Additional info field supplies the bank-transfer instructions displayed on the thank-you page. You can include the account details your customers need, such as the account name, bank name, sort code, account number, and IBAN or SWIFT/BIC where applicable.

Example instructions

Replace the bracketed text with your company’s details and remove any fields that do not apply:

Please transfer the total booking amount to the following bank account:

Account name: [Your company account name]
Bank name: [Your bank name]
Sort code: [Your sort code]
Account number: [Your account number]
IBAN: [Your IBAN, if applicable]
SWIFT/BIC: [Your SWIFT/BIC, if applicable]

Please use your booking reference as the payment reference so we can identify your transfer.

Please make payment by the deadline agreed with our office.

Before saving, check that the details are correct and that your instructions clearly explain how the customer should identify their payment. Only include information needed to receive a transfer—never online-banking passwords or security credentials.

3. How Customers Book and Pay

When BACS is enabled and available for the selected journey, the customer can:

  1. Enter their journey details and select a vehicle.
  2. Choose BACS in the payment section.
  3. Submit the booking and view the bank-transfer instructions on the thank-you page.
  4. Make the transfer separately through their bank, following your instructions.

The customer is not taken through an online payment gateway for BACS. The booking follows your configured booking-confirmation rules, while a transaction with a non-zero amount initially has the payment status Pending.

A booking confirmation is not confirmation that the bank transfer has been received.

4. Record Payment After Receiving the Transfer

First, check your company’s bank account and match the incoming payment to the booking using the amount and payment reference.

Once you have confirmed receipt:

  1. Open the relevant booking in the admin panel.
  2. Open Transaction History.
  3. Find the BACS payment transaction.
  4. Click its Status, select Paid, and save the change.

Editing transaction statuses requires the appropriate transaction-editing permission. If the status is not editable, ask an administrator to review your permissions.

Example

A customer books an £80 journey and selects BACS. The payment remains Pending after the booking is submitted. Once your team confirms that the £80 transfer has arrived and matches the booking, update the relevant transaction to Paid.

Recommended practice: Only mark a transaction as Paid after verifying receipt—not simply because the customer says they have sent the transfer.

5. Control When BACS Is Available

The BACS settings also let you restrict which journeys can use this payment method.

Setting What it does
Assign to selected services Makes the method available for the selected services. Leaving the selection empty applies it to all services.
Assign to selected vehicle types Makes the method available for the selected vehicle types. Leaving the selection empty applies it to all vehicle types.
Availability restrictions Blocks the method for pickup dates, weekdays, or times that match an active restriction.

These settings are checked against the customer’s requested journey.

Important: Availability restrictions use the journey’s pickup date and time, not the time when the customer makes the booking. For return bookings, both the outbound and return pickup times are checked.

To stop offering BACS entirely, edit the payment method, clear Active, and save. The customer booking form only accepts active, customer-visible payment methods.

Troubleshooting

BACS is not visible in the customer booking form

Check that Active is enabled and Display is set to Frontend & Backend. Then review any service assignments, vehicle-type assignments, and availability restrictions that might exclude the requested journey.

Customers cannot see the bank details

Check that your instructions are entered in Additional info, that the changes were saved, and that the customer selected BACS. This field supplies the instructions for the thank-you page; it is not a bank-payment form.

The transfer has arrived, but the payment is still Pending

BACS is a manual bank-transfer arrangement. Check the incoming transfer and then update the relevant transaction to Paid in Transaction History. The customer completing a transfer outside EasyTaxiOffice does not itself update the payment record.

There is no Pay Now option for the BACS transaction

This is expected. The transaction’s online Pay Now and payment-link email/SMS actions are not provided for BACS. Customers should make the transfer through their bank using your instructions.
