Example: A customer books a £45 journey and selects Cash. They pay £45 directly to the driver at the end of the journey. After confirming that the money has been collected, the administrator records the payment as Paid.
1. Enable the Cash Payment Method
- Log in to the admin panel.
- Go to Settings > Payment Methods.
- Find Cash and click Edit.
- Enable Active.
- Set Display to Frontend & Backend to make Cash available through the customer booking form as well as the admin panel.
- Click Save.
Important: When Display is set to Backend, the payment method is not available in the customer booking form. Cash must also be active and permitted by any applicable journey restrictions.
2. How Customers Book Using Cash
When Cash is available for the requested journey, the customer can:
- Enter their journey details and select a vehicle.
- Continue to the payment section.
- Choose Cash and submit the booking.
- Pay the driver directly when the journey is completed.
The customer is not taken through an online payment gateway. The booking follows your configured booking-confirmation rules, so selecting Cash does not override whether a booking requires your approval.
Important: Selecting Cash does not mean that payment has been received. For a booking with an amount due, the payment transaction is initially recorded as Pending.
3. Record the Payment After Cash Has Been Collected
After confirming that the driver has received the payment:
- Open the relevant booking in the admin panel.
- Open its Transaction History.
- Find the Cash transaction and check the amount.
- Click the transaction’s Status.
- Select Paid and save the change.
Changing a transaction’s status requires the appropriate transaction-editing permission. If the status is visible but cannot be edited, ask an administrator with the necessary permission to update it.
Recommended practice: Treat journey completion and payment collection as separate checks. Do not assume that a Confirmed or Completed booking proves that cash has been received. Check the payment record and use Paid only after confirming collection.
4. Control When Cash Is Available
Restrict Cash to selected services or vehicle types
In Settings > Payment Methods > Cash, you can use:
- Assign to selected services to make Cash available only for the services you select.
- Assign to selected vehicle types to make Cash available only for the vehicle types you select.
Leaving either selection empty means that no restriction is applied for that category. Other restrictions can still affect whether Cash is available.
Restrict Cash by pickup date or time
Use Availability restrictions to block Cash for particular pickup dates, weekdays or times. Cash remains available by default unless an active restriction matches the journey.
These restrictions use the journey’s pickup date and time, not the time when the customer makes the booking. For a return booking, both the outbound and return pickup times are checked. If one rule contains a date range, a time range and selected weekdays, the journey must match all those conditions for that rule to block the payment method.
Example: To prevent customers from choosing Cash for late-night pickups, add an active restriction for the relevant pickup-time range.
Disable Cash for airport or seaport pickups
Separate options are available under Settings > Web Booking Widget, in Step 3:
- Disable cash payment for airport pickups
- Disable cash payment for seaport pickups
Enable the relevant option and save your settings to stop offering Cash for that pickup type. Leave it disabled when you want Cash to remain available, subject to your other payment-method restrictions.
5. Review Cash Payments
Use a Payment Report to review bookings recorded with Cash as the payment method.
- Go to Reports > Payment Reports.
- Select Cash in the payment-method filter.
- Choose the required date range and any relevant payment-status or job-status filters.
- Click Generate.
Choose Journey Date to report by when journeys took place, or Created Date to report by when bookings were created. Keeping transaction statuses up to date helps you distinguish recorded payments from payments still awaiting confirmation.
Troubleshooting
Cash is not visible in the customer booking form
Check that Cash is Active and its Display setting is Frontend & Backend. Then review any service, vehicle-type or availability restrictions that apply to the requested journey.
For airport or seaport pickups, also check whether the corresponding Disable cash payment option is enabled under Settings > Web Booking Widget.
The customer has paid, but the payment is still Pending
Open the booking’s Transaction History, check the Cash transaction and update its status to Paid after confirming that the money has been collected. Choosing Cash during booking does not itself record payment as received.
Can I send an online payment link for a Cash transaction?
Cash is an offline payment method. The online payment-request and Pay now actions are not available for a transaction recorded as Cash. Use an appropriately configured online payment method when the customer needs to pay online.
How do I stop offering Cash?
Go to Settings > Payment Methods, edit Cash, clear Active, and save. To keep Cash available to administrators but hide it from customer checkout, set Display to Backend instead.
