What Are Incomplete Bookings?

Incomplete bookings are booking attempts where the customer did not complete the payment. This commonly happens when a user:

  • Abandons the booking process at the payment step.

  • Experiences a failed or declined transaction.

  • Decides not to finalize the booking.

These entries remain in the system with an "Incomplete" status, which can clutter your booking list if not managed.

What Does This Feature Do?

When activated, the system automatically:

  • Monitors bookings with Incomplete status.

  • Deletes these bookings once they exceed a specified time threshold (e.g., 72 hours).

  • Moves deleted bookings to the Trash section under Bookings → Trash, where they can be reviewed or restored if needed.

  • Runs this cleanup in the background, with no manual action required.

Important Notes:

  • Only bookings with the Incomplete status are affected.

  • Confirmed, active, or pending bookings are never deleted by this feature.

  • The feature is disabled by default and set to 72 hours (3 days) if enabled.

How to Enable and Configure Auto-Deletion

Follow these steps to turn on and customize the feature:

1. Open Booking Settings

  • Log in to your Admin Panel.

  • Navigate to Settings.

  • Go to the Booking tab.

2. Find the Incomplete Bookings Options

Look for:

  • A checkbox: Auto delete incomplete bookings after [X] hours

  • A number field: Set the time threshold in hours.

3. Enable the Feature

  • Tick the checkbox to activate auto-deletion.

4. Set the Time Limit

  • Enter the number of hours to wait before deletion.

    • Examples:

      • 72 hours = 3 days (default)

      • 24 hours = 1 day

      • 12 hours = half a day

  • Choose a window that suits your customer behavior and follow-up practices.

5. Save Changes

  • Click Save to apply the settings.

Once enabled, the system will automatically delete all Incomplete bookings older than the specified time.

Note: Deleted bookings are not permanently erased — they are moved to Bookings → Trash, where you can review or restore them if necessary.

Use Cases and Benefits

Eliminate Abandoned Bookings

  • Cleans up unpaid or unfinished bookings that were likely abandoned.

  • Especially helpful if you accept online payments.

Improve Accuracy in Booking Lists

  • Prevents confusion for staff who might otherwise misinterpret incomplete entries as valid bookings.

Save Time with Automation

  • Removes the need for manual cleanup.

  • Ensures your system stays organized without extra effort.

Maintain a Clean Customer Experience

  • Prevents outdated or unfinished bookings from lingering.

  • Customers can simply create a new booking if they missed completing the previous one.

Customize the Grace Period

  • You decide how long a booking can stay “Incomplete” before deletion.

  • Shorter windows are better for high-volume, fast-paced environments.

  • Longer windows allow more time for customers to resolve payment issues.

Example Scenario

A customer begins a booking on your website, selects to pay by card, but closes the browser without paying. Here's what happens:

  1. The system creates a booking marked as Incomplete.

  2. You have auto-delete enabled and set to 48 hours.

  3. The booking stays in the system for 48 hours, allowing time for payment retry or follow-up.

  4. After 48 hours with no payment, the booking is automatically deleted.

  5. The booking entry is moved to the Trash panel under Bookings → Trash.

  6. Your booking list now reflects only real, actionable bookings—without manual cleanup.

Summary

The Auto-Delete Incomplete Bookings feature is a powerful way to streamline your operations, reduce clutter, and improve booking accuracy. Once configured, it works automatically in the background—giving you a hands-off solution to manage abandoned or unpaid bookings.
And if you ever need to double-check or recover a deleted entry, you can find it in the Trash panel under Bookings → Trash.
