This guide explains the main Driver App functions and the recommended workflow for completing a booking.
Before You Start
Before using the Driver App, you need:
-
An active EasyTaxiOffice Driver account
-
Your Driver account email address and password
-
Your company's Driver App connection details
-
The Driver App installed on your Android or Apple device
-
An internet connection
-
Location permission enabled if your company uses live driver tracking
Your administrator normally creates your Driver account and provides the information required to connect the app to the correct EasyTaxiOffice company account.
Driver App Main Menu
Depending on the permissions and settings enabled by your company, the Driver area can include:
-
Dashboard
-
Jobs
-
Calendar
-
Settings
-
Account
-
Download the app
The most important sections for everyday work are Dashboard, Jobs and your Availability Status.
Dashboard
The Dashboard provides quick access to your bookings based on their current status.
Bookings can be grouped as:
-
In progress — journeys currently being completed
-
Awaiting approval — newly assigned bookings waiting for you to accept or reject them
-
Accepted — bookings you have accepted but have not yet started
-
Completed — completed journeys and No-show jobs
-
Cancelled — cancelled or unfinished bookings
-
Rejected — bookings you have rejected
Use these sections to quickly find the booking you need.
Setting Your Availability Status
Your availability status tells EasyTaxiOffice whether you are currently available for operational work.
The available statuses normally include:
-
Available
-
On Break
-
Unavailable
You can change your availability from the Driver interface.
Important
You can normally still Accept or Reject a newly offered booking when you are On Break or Unavailable.
However, to actively progress a journey through operational statuses such as En route, Arrived, On board and Completed, your status must be set to Available.
If your status does not allow the action, the app displays:
To manage this booking, your status must be set to "Available".
Receiving a New Job
When a booking is assigned to you, it appears under Awaiting approval.
Open the booking to review the information provided by the operator.
Depending on your company's settings, you can then select:
-
Accept
-
Reject
The Reject option may not be available if your company has disabled driver rejection.
If the booking has been sent using a timed dispatch request, a countdown may also be displayed. The booking should be accepted or rejected before the available response time expires.
Accepting a Booking
To accept a booking:
-
Open Awaiting approval.
-
Select the booking.
-
Review the journey details.
-
Select Accept.
If your company has Terms and Conditions configured, you may also be shown a message confirming that accepting the booking means agreeing to those terms.
After accepting the booking, it moves to your Accepted jobs.
Rejecting a Booking
If the Reject option is available:
-
Open the assigned booking.
-
Select Reject.
-
Enter a reason when requested.
-
Confirm the action.
The booking will no longer remain an active assigned job for you.
Reviewing Booking Details
Open a job to see the information required to complete the journey.
Depending on the booking and your company's settings, this can include:
-
Journey date and time
-
Pickup address
-
Via or stopover addresses
-
Drop-off address
-
Vehicle type
-
Passenger details
-
Number of passengers
-
Luggage
-

-
Child, booster or infant seats
-
Wheelchair requirements
-

-

-

-
Journey price
-

-
Driver income
-
Passenger charge
-
Operator notes
Only information relevant to the booking and permitted by your company's configuration is displayed.
Passenger Contact Details
When enabled by your company, the booking can display:
-
Customer name
-
Customer phone number
-
Customer email
-
Lead passenger name
-
Lead passenger phone number
-
Lead passenger email
Phone numbers can be selected directly when displayed as a link.
The availability of passenger phone numbers and email addresses depends on the privacy settings configured by your administrator.
Navigating to Journey Locations
The Driver App can provide navigation links for journey locations.
Depending on the booking status and company configuration, navigation may be available for:
-
Pickup
-
Via / Stopover
-
Drop-off
Use the navigation option next to the relevant address to open navigation for that location.
For example, when travelling to collect the passenger, use Navigate to Pickup.
After the passenger is on board, navigation to Via locations and the final Drop-off can become available.
Completing a Journey
The normal booking workflow is:
Accept → En route → Arrived → On board → Completed
Some steps can be hidden by your company, so the exact buttons displayed in your Driver App may vary.
En route
Select En route when you start travelling towards the passenger's pickup location.
This moves the booking into the active journey workflow and allows the operator to see that you are travelling to the pickup.
Arrived
Select Arrived when you reach the pickup location.
The booking remains active while you wait for the passenger.
Depending on your company's settings, the No-show option may also become available at this stage.
On board
Select On board when the passenger has entered the vehicle and you are starting the passenger journey.
Navigation to Via locations and the Drop-off location may become available at this stage.
Completed
Select Completed when the passenger has reached the final destination and the journey has finished.
This moves the booking to your completed jobs.
Do not mark a booking as Completed before the journey has actually finished.
No-show
If enabled by your company, No-show becomes available when the booking is at the Arrived stage.
Use No-show when you have reached the pickup location but the passenger has not arrived and the booking should be recorded as a passenger no-show.
You may be asked to provide a reason.
Follow your company's own waiting-time and no-show procedures before using this option.
Cancelling a Job
Depending on the company's Driver settings, a driver may be able to cancel an accepted or active booking.
The option can appear in the booking menu while the booking is:
-
Accepted
-
En route
-
Arrived
-
On board
You may be asked to enter a reason for cancelling the job.
Some companies disable driver cancellation completely. If the option is not available, contact your operator or dispatcher.
Passenger Charge
The Passenger charge shows the amount that should be collected from the passenger when applicable.
For example:
Passenger charge: £45.00
means that the driver is expected to collect £45.00 from the passenger.
If no payment needs to be collected, the app can display:
Payment not required
Always check the Passenger charge displayed on the booking rather than assuming that the full journey price needs to be collected.
Journey Price and Payments
If your company allows drivers to see pricing information, the booking may also display:
-
Journey price
-
Discounts
-
Existing payments
-
Amount still due
These details help you understand the payment position for the booking.
The information available to drivers depends on the settings chosen by your administrator.
Driver Income
If Driver Income is configured for the booking, the app may show the amount you will receive for completing the job.
This is displayed separately from the amount the passenger may need to pay.
For example:
-
Driver income — amount payable to the driver
-
Passenger charge — amount that needs to be collected from the passenger
These values serve different purposes and should not be confused.
Adding Driver Notes
After accepting a booking, you can add your own note to the job when this option is available.
To add a note:
-
Open the booking.
-
Select Add note.
-
Enter your information.
-
Select Save.
Driver notes can be useful for recording information relevant to the journey or the operator.
Meeting Board
If Meeting Board is enabled by your company, it can be opened from the booking options.
This can be useful for airport, station or other Meet & Greet bookings where the driver needs to display passenger information.
Depending on how the Driver App is being used, some Meeting Board functions such as printing may only be available through browser mode.
Booking Tracking
The booking screen can include a Tracking option.
This allows available tracking information for the journey to be displayed on a map.
Tracking information depends on location services and the tracking settings enabled for your EasyTaxiOffice account.
Calendar
The Driver Calendar provides another way to review scheduled work.
Depending on your permissions, you can view the calendar by:
-
Month
-
Week
-
Day
-
List Day
-
List Week
Jobs displayed in the Calendar can be opened directly to view their details.
Some Driver accounts may also be allowed to add their own calendar events.
Managing Your Driver Account
Open Account to review the information associated with your Driver account.
Depending on your permissions, available information can include:
-
Language
-
Timezone
-
Email
-
Name
-
Profile photo
-
Password
-
Telephone numbers
-
Address
-
Driver and vehicle licence details
-
Insurance details
-
Notification preferences
Some information may be controlled by your administrator and therefore may not be editable by the driver.
Location Sharing
Location sharing allows the dispatcher to see your position when your company uses live driver tracking.
For reliable tracking, make sure:
-
Location services are enabled on your phone.
-
The Driver App has the required location permission.
-
The app is allowed to access your location in the background when required.
-
Your availability status is set appropriately.
On Android and iPhone, operating-system settings can affect background location tracking even when your EasyTaxiOffice settings are correct.
If a Status Button Is Missing
Not every company uses every Driver App status button.
Your administrator can configure whether drivers see options such as:
-
Reject
-
En route
-
Arrived
-
On board
-
No-show
-
Restart
-
Cancel job
If one of these buttons does not appear, this does not necessarily mean there is a problem with the app.
The option may have been disabled in your company's EasyTaxiOffice settings.
If You Cannot Progress a Job
If you can open the booking but cannot change its journey status:
-
Check your Availability Status.
-
Set yourself to Available.
-
Confirm that you have an internet connection.
-
Reopen the booking.
-
Check that another active journey does not need to be completed first.
EasyTaxiOffice can prevent a driver from starting another journey while an existing job is already in progress.
If the problem continues, contact your dispatcher or administrator.
Recommended Driver Workflow
For most bookings, drivers should follow this sequence:
-
Set your availability to Available when starting work.
-
Open newly assigned jobs under Awaiting approval.
-
Review the booking details.
-
Select Accept.
-
When travelling to the pickup, select En route.
-
When you reach the pickup, select Arrived.
-
When the passenger enters the vehicle, select On board.
-
Follow the journey and any Via points shown in the booking.
-
Check the Passenger charge before collecting payment.
-
At the final destination, select Completed.
Keeping booking statuses up to date helps the operator accurately monitor the progress of each journey.
