It can be used for charges such as:
-
Airport pickup or drop-off parking fees
-
Seaport parking fees
-
Congestion charges
-
Charges for entering specific areas or zones
-
Other location-specific fees
Location Surcharges can also be restricted to selected vehicle types or specific days and times.

Go to Settings.
-
Open Pricing.
-
Select Location Surcharge.
The page displays your existing surcharges together with their:
-
Name
-
Price
-
Tax
-
Restrictions
-
Status
You can edit, duplicate, delete, or activate/deactivate existing surcharges from this page.
Adding a New Location Surcharge
Click + Add to create a new surcharge.
The surcharge configuration window will open.
Price
Enter the amount that should be added to the booking.
For example:
Airport Pickup Charge: £8.00
When the configured location conditions are met, £8.00 is added to the journey.
Tax
By default, the surcharge uses the tax settings configured under:
Settings > Pricing > Tax
Enable Override the default tax rate if this particular surcharge should use different tax settings.
You can then configure the applicable tax type and tax rate.
Add This Charge to Journey Price in Step 2 of Web Booking
This option controls how the surcharge is presented during Web Booking.
Enabled
The surcharge is included in the Journey Price displayed in Step 2, when the customer selects a vehicle.
Disabled
The surcharge is not included in the Journey Price displayed in Step 2.
However, the surcharge is still added to the Total Price and is displayed in the Price Summary in Step 3 of Web Booking.
Disabling this option therefore does not disable the surcharge.
Display Charge Name in Summary
Enable Display charge name in summary if you want the name of the surcharge to be shown in the booking price summary.
Enter a clear name, for example:
-
Airport Pickup Parking
-
Airport Drop-off Charge
-
Congestion Charge
-
Seaport Parking
-
Event Area Charge
The name helps customers and administrators understand why the additional charge has been applied.
Limit to Location
Enable Limit to location to specify where the surcharge should apply.
You can control:
-
Which part of the journey should be checked
-
How many times the surcharge can be charged
-
How the location should be identified
Match Any of
Choose which route points should trigger the surcharge:
Pickup
Checks the journey's pickup location.
Use this for charges such as an airport pickup parking fee.
Via
Checks intermediate stops added to the journey.
This is useful when a journey passes through or stops at a location that requires an additional charge.
Each Via location is checked separately.
Dropoff
Checks the final destination.
Use this for charges such as an airport drop-off fee.
You can select more than one option.
For example, selecting:
Pickup + Via
means that the surcharge can be triggered if either:
-
the pickup matches the configured location, or
-
any Via/stopover matches the configured location.
The drop-off will not be checked unless Dropoff is also selected.
Charge Mode
The Charge mode determines what happens when more than one selected route point matches the location rule.
Only once
The surcharge is added only once, regardless of how many selected route points match.
Example:
-
Surcharge: £10
-
Pickup matches
-
Via 1 matches
-
Via 2 matches
Total Location Surcharge:
£10
This option is useful when the surcharge represents a single journey-level fee.
For each matched point
The surcharge is added separately for every matching route point.
Using the same example:
-
Pickup matches = £10
-
Via 1 matches = £10
-
Via 2 matches = £10
Total Location Surcharge:
£30
This is useful when each visit to the specified location creates a separate cost.
Match Locations By
EasyTaxiOffice provides two methods for identifying the location:
Zones
Zones are the recommended option for location matching.
Zones use geographical coordinates rather than relying only on address or postcode text. This generally provides more reliable matching for areas such as:
-
Airport terminals
-
Seaports terminals
-
City centres
-
Congestion areas
-
Venues
-
Custom geographical areas
Select one or more existing Zones.
If you have permission to manage Zones, you can also use the + option beside the Zone selector to create a new Zone.
Only active Zones can match a booking.
Addresses / Postcodes
You can alternatively define the surcharge using addresses or postcodes.
Click Add new address and enter the required location.
EasyTaxiOffice stores the relevant location information and compares the journey's postcode or postcode area against the configured location.
This method is text/postcode based, so accurate postcode information is important.
For more reliable geographical matching, particularly for larger areas, we recommend using Zones.
Example — Airport Pickup Charge
Suppose you need to add a £7 airport parking charge whenever a passenger is collected from an airport.
Configure the surcharge as follows:
-
Name: Airport Pickup Parking
-
Price: £7.00
-
Limit to location: Enabled
-
Match any of: Pickup
-
Charge mode: Only once
-
Match locations by: Zones
-
Zone: Select your airport zone
-
Active: Enabled
A journey with a pickup inside the selected airport zone will automatically receive the £7 surcharge.
A journey that only drops a passenger at the airport will not receive the charge because only Pickup has been selected.
Example — Charging for Multiple Airport Stops
Consider a journey with:
-
Pickup at Airport A
-
Via stop at Airport B
-
Via stop at Airport C
-
Final destination outside the configured airport zones
The surcharge is £5 and Pickup + Via are selected.
Charge mode: Only once
The surcharge is:
£5
even though three route points match.
Charge mode: For each matched point
The surcharge is:
£15
because three selected route points match the configured locations.
Limit to Vehicle Type
Enable Limit to vehicle type if the surcharge should apply only to selected vehicle types.
You can choose:
-
All vehicle types
-
One vehicle type
-
Multiple vehicle types
For example, you may apply a particular location charge only to:
-
Saloon
-
Executive
-
Minibus
Select all vehicle types that should receive the surcharge.
Limit to Event
The Limit to event option allows the surcharge to apply only on selected days and during selected times.
You can configure:
-
Days of the week
-
Start time
-
End time
For example:
Monday–Friday, 07:00–19:00
The location surcharge will apply only when the journey meets both the location rule and the configured event time.
You can add multiple day/time rules if required.
If you enable Limit to event, make sure you also add the required day and time period.
Active
Enable Active to make the surcharge available for price calculation.
If the surcharge is inactive, it will remain in your Location Surcharge list but will not be applied to bookings.
This is useful when preparing a new surcharge before making it live or temporarily disabling an existing surcharge.
Using Preset Surcharges
The Insert menu provides preset Location Surcharge configurations.
Available presets include:
-
London Congestion Charge
-
UK Pickup Airport Parking Charge
-
UK Dropoff Airport Parking Charge
-
UK Pickup Seaport Parking Charge
-
UK Dropoff Seaport Parking Charge
These templates provide a starting configuration and can be edited after insertion.
Important: Always review the locations, price, applicable times, and other settings before activating a preset. Charges and geographical requirements can change over time.
Inserted presets are not intended to replace regular reviews of your pricing configuration.
Managing Existing Surcharges
Existing Location Surcharges can be managed directly from the list.
Available actions include:
-
Edit — change the surcharge configuration
-
Duplicate — create a copy of an existing surcharge
-
Delete — permanently remove a surcharge
-
Activate / Deactivate — quickly control whether the surcharge is currently used
The search option can also be used to find existing surcharge entries.
How Multiple Restrictions Work Together
A surcharge can have several restrictions at the same time.
For example:
-
Location: Airport Zone
-
Route point: Pickup
-
Vehicle: Executive and Minibus
-
Event: Monday–Friday, 06:00–22:00
For the surcharge to apply, the booking must satisfy the configured restrictions.
This allows you to create very specific pricing rules without affecting unrelated journeys.
Recommended Configuration
For reliable Location Surcharge calculations:
-
Use Zones whenever possible for geographical areas.
-
Use clear surcharge names so customers and administrators understand the additional fee.
-
Select the correct route point: Pickup, Via, or Dropoff.
-
Choose Only once unless you specifically need to charge for every matching stop.
-
Check vehicle restrictions carefully.
-
Review recurring event days and times.
-
Make sure Active is enabled when the surcharge is ready for use.
-
Test the configuration using several Web Booking journeys before making it available to customers.
Test both journeys that should receive the surcharge and journeys that should not receive it.
